How to Choose an AI Workspace and Task Tool (Decide by What Keeps Slipping)
Choose an AI workspace or task tool by asking one question: what is the work that keeps slipping — knowing where things are, deciding what ships, finding the hours to do it, or keeping the system light enough to survive? The four tools here answer different versions of that question. Comparing them on AI features misses the point, because each one adds AI to a different job and none of them fixes a job you haven’t named.
Answer 1: Your operation lives in docs and databases → Notion
Plans, SOPs, a content calendar, a lightweight CRM, all in one place, and you want an assistant that can read across them. Notion is the operating-system seat. Plus is $10 per user per month and Business is $20 (both billed annually; $12 and $24 monthly). Notion AI is fully included from Business up, with only a limited trial on Free and Plus, so the AI that matters effectively starts at $20. Each Business seat includes monthly AI credits (1,500 Standard, 500 Select), enough to start a Custom Agent; past that, credits are $10 per 1,000. Adopt Notion for the system it holds, not for the assistant on top of it. Without structure discipline, it becomes the junk drawer.
Answer 2: A team, or an agent, decides what ships → Linear
Once more than one person touches the backlog, “what ships this cycle” needs an owner and a record. Linear is where that decision gets made. Free caps at 250 issues, which makes it a trial, not a home. Basic is $10 per user per month and Business is $16, billed yearly. Triage Intelligence and Insights are Business features. Its Agent platform lets coding agents such as Claude Code, Cursor, and Devin show up as assignable workspace members instead of tabs you switch between. Agent coding sessions consume AI credits on top of the seat price, so the seat is not the whole bill once agents do real work. The vocabulary is engineering-shaped; a marketing team will feel that friction.
Answer 3: The hours don’t exist until something replans them → Motion
Your task list is fine. Your week isn’t, because meetings move and the plan dies by Tuesday. Motion is the auto-scheduling seat: it puts tasks onto your calendar and replans them as the day shifts. Solo, Pro AI is $29 a month billed annually ($49 monthly) with 7,500 AI credits, and Business AI is $39 ($69 monthly) with 15,000. Team seats are cheaper: $19 and $29 per seat on annual billing. There is no free tier, only a trial. It only works if every task lives inside it. Half-adopted, it is an expensive to-do list.
Answer 4: Notion is why your last three systems died → Taskade
Outline-first, with agents built in, and none of the setup tax. Taskade Pro is $10 per month billed annually, with 10 members and 50,000 credits a month included. The free plan gives 11,000 one-time credits that do not renew, so it is a test drive. It is lighter than Notion on purpose, and database depth is where that shows. Pick it because you will actually use it. Notion pages nobody opens are worse than a plain outline you do.

The trap to avoid
Running two workspaces, half-populated, because each one had a feature the other lacked. Buying Motion before your tasks live in one place. Putting a solo backlog that fits in a list into Linear. Paying for Notion Business when the AI you wanted was just a chat window. Name the job that is slipping first. The workflow should choose the tool, and one seat with a job beats four seats with a demo.
Tools in this guide
Notion
01 IntelligenceThe operating-system seat: where plans, docs, and databases live, with AI that can actually see all of it.
Linear
02 DecisionsThe work-decision seat: where a lean team decides what actually ships this cycle, and where AI coding agents get assigned issues like teammates.
Motion
02 DecisionsThe auto-scheduling seat: tasks, projects, and meetings compressed into a calendar the AI continuously replans.
Taskade
02 DecisionsThe light-workspace seat: task lists, outlines, and mind maps with AI agents woven in — for operators who find Notion heavy.
